Job Description

Job Summary & Essential Functions: The following describes in general terms the purpose and scope of the position.
Provide high-level administrative support by preparing reports, handling information requests, managing outside vendors and performing clerical functions such as preparing production planning, hosting visitors, and managing data retention and scanning.
 Preparing production planning and routing and maintain product serialization
 Maintain and replenish labeling and forms for inventory control and quality records
 Manage quality documents and data retention to meet customer and internal requirements
 Enters, updates, and tracks purchase orders. Maintains documentation of all activities related to requisitions, quotations and purchases. Reviews requisitions, purchase orders, MRP generated orders for accuracy and conformance with established policies and procedures.
 Prepare memos, letters and other documents using word processing, spreadsheet, database and other software as necessary.
 Coordinates with other departments for smooth flow of information, paperwork and materials
 Completes computer data entry and maintains complete records for various departments.
 Assists in analyzing data and records as required
 Establishes external communications with various agencies.
 Supports all internal and external activities which includes but is not limited to audits, meetings, company events, customer visits, etc
 Computer data entry to support ERP / Baan requirements.
 File and organize hard copy and soft copy information for a various department
 Other duties as assigned

 Two-year degree in Business\Secretarial courses or one to two years related experience and/or training; or equivalent combination of education and experience
 Excellent computer knowledge and skills, i.e. MS Word, Excel, PowerPoint, Outlook, etc.
 Ability to work independently with strong attention to detail
 Pleasant personality and ability to interact with all levels of personnel
 Strong analytical and communication skills
 Conscientious, organized and meticulous - records must be accurate and maintained
 Read and understand internal procedures and policies
 Understand and follow through on both verbal and written instructions
 Team oriented with a continuous improvement outlook
 Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form
 Ability to perform basic math functions at a 7th grade level
Required Experience/Education/Training/Certifications: To perform this job successfully, an individual must possess the outlined experience level, education, training, minimum years of experience, product or industry knowledge plus any certifications in order to be considered.
 Two-year degree in Business\Administrative courses or one to two years related experience and/or training; or equivalent combination of education and experience
 Two (2) + years of administrative assistant experience
