Job Description

The Appleton Performance Center is seeking a Document Control Administrator to support the Prototype Department.  This position will provide complete, accurate, and timely control of all engineering documents and customer data, including drawings, digital models, specifications, processes, and mylars, and for storing and controlling job folders and closed travelers. The Document Control Administrator performs data entry and copying/scanning activity. Additional responsibilities include:

  • Read and understand customer and industry drawing, specification, and procedure nomenclature and numbering systems.
  • Scan closed records to provide electronic copies available to all teammates on the company intranet.
  • Scan all material certifications to provide electronic copies available on the company file directory.
  • Receive, file, organize and control customer supplied and internal documents such as drawings, specifications, procedures, and job folders.
  • Retrieve documents as required.
  • Request drawings, specifications, procedures, and other data from customers as needed.
  • Retrieve, duplicate and provide copies of all documents and information as required by internal and external customers.
  • Create and maintain data in computer application programs (such as Word, Excel, and Access) for the purpose of indicating the location and status of current and completed documents.
  • Store closed quality records such as travelers and job folders in such a manner as to allow for easy retrieval whenever necessary.
  • Distribution of controlled copies of documents to individuals and areas that need those documents.
  • Notify individuals of updates to documents as they are received.
  • Work with other teammates to identify and order new documents and document revisions so that production requirements can be met.
  • Scan/electronic file receiving documents for raw material certification traceability
  • Must be willing and able to work overtime as necessary.
  • Acceptable attendance is an essential function of the position.
  • Performs other duties as assigned or required by the position.

  • Must be able to type and operate office equipment such as copiers, printers, scanners, adding machines etc.
  • Excellent computer knowledge and skills, including MS Word and Excel required; ERP exposure helpful.
  • Ability to work independently and possess a good memory for detail.
  • Ability to effectively manage time for competing priorities is a must.
  • Strong analytical and excellent verbal and written communication skills, demonstrating the ability to communicate courteously and professionally across all organizational levels.
  • Conscientious, organized and meticulous - records must be accurate and maintained.
  • Able to read and understand internal procedures and policies.
  • Understands and follows through on both verbal and written instructions.
  • Team oriented with a continuous improvement outlook.
  • Ability to write routine reports and correspondence.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Must have good finger dexterity for computer data entry.
  • Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Regularly required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls.
  • Must be able to communicate effectively.
  • The employee must occasionally lift and/or move up to 20 pounds.

Required Experience/Education/Training/Certifications: To perform this job successfully, an individual must possess the outlined experience level, education, training, minimum years of experience, product or industry knowledge plus any certifications in order to be considered.

  • High school diploma or equivalent or six to nine months related experience and/or training, or equivalent combination of education and experience.
  • Must be able to type and operate office equipment such as copiers, printers, scanners, adding machines etc.
  • Excellent computer knowledge and skills, including MS Word and Excel required; ERP exposure helpful.
  • Previous experience in an administrative support environment strongly preferred.
